Everyone has a favorite sleeper movie. The one that didn’t start out with any buzz but over time turned into a hit. Remember Slumdog Millionaire? How about Napoleon Dynamite? That was definitely one I didn’t think much of when it came out, but loved when I finally saw it.
ArchiOffice’s Calendar module is its sleeper hit. It may not seem like much at first but once you see it, you love it.
The ArchiOffice Calendar helps you stay on top of your projects. Used properly, it can keep you and your staff from falling behind on project tasks. It can also help maintain a healthy cash flow.
It’s hard to get out of touch with your schedule with the ArchiOffice Calendar. When you sign in to ArchiOffice, there are Dashboard widgets that display upcoming appointments, milestones and your To-Do list.
The Calendar view is simple and easy to navigate. Scheduled items are color-coded. You can view items scheduled for the current day, a week (including weekends) or a month. And you can jump between months or to a specific day.
Hover your mouse over a scheduled event to view its details. Click it once to make quick edits or delete it. Double-click it to make more extensive changes such as changing event attendees, notes or attaching documents. You can drag-and-drop events from one day to another on the calendar.
Add Events from Multiple Places
Aside from the Calendar view, items can be added to the calendar from multiple places in ArchiOffice. You can schedule events from the Dashboard or the events portal in the Projects and Contacts modules.
While creating a submittal record, you can set a due date and assign a team member to the submittal review. This places a To-Do item, linked to the submittal record, on that person’s dashboard.
Sync Events with Third-Party Applications
If you use the ArchiOffice Calendar along with Outlook, Entourage or Apple Calendar (iCal), you can sync data with them, eliminating double data entry and errors. Anything you enter in your local application can be viewable by other staff.
Avoid Information Overload
If you have a large staff using the ArchiOffice Calendar, it can become cluttered. While it’s good to know what your coworkers are doing, you may not always want to see all that information. You can apply filters, so you only see scheduled items associated with yourself or a selected number of coworkers. You can also filter displayed items by type, project or status.
Additionally, instead of flipping through the Calendar view to find an event, you can use the Calendar Filter tab to view a list of scheduled events that match selected filter criteria.
Bill for Project Meetings
It’s easy to forget to record meetings as billable time. But the ArchiOffice Calendar makes it easy to bill for project-related meetings. You can convert an appointment into a time slip, for one or all attendees.
Share Meeting Documents
You can attach files to an upcoming scheduled event such as an agenda or drawings that need to be discussed. So attendees can look over documents beforehand. The final meeting minutes can be attached so your staff can see what was discussed at the meeting.
Stay on Top of Tasks and Milestones
You and your staff can easily track To-Do list and project milestone statuses to stay on target for finishing projects on time. For example, you can display only milestones so you can see major events for the month. If you see three projects scheduled to go out for permit the same week, you can reschedule one and avoid having to tell a client at the last minute you can’t complete their project as scheduled.
Your staff can view their To-Do list on the Dashboard and mark items as completed right there.
Schedule All Day and Recurring Events
When you’re on vacation or flying cross-country to meet with a client, you can flag these days as all-day events. You can also set up recurring events—useful for weekly staff meetings, monthly status meetings with clients, etc.
Print Your Schedule
It’s always good to have a hardcopy of your schedule, for yourself or an admin assistant. You can print a calendar report that includes details such as event type, date, status, notes and start/end time. You can print summary or detailed information.
