Reports provide a snapshot of your firm’s financial health but it’s up to you to analyze the information and suggest areas for improvement. The powerful reporting features in BillQuick help you transcribe the financial data into actionable insights for principals, project managers, owners and other team members. There over 500 standard report templates to choose from and you can view breakdowns of utilization, realization and billable work for both employees and consultants. Here are five tips that will make your reporting tasks easier to accomplish.
Tip #1: Instead of selecting all the data you want on a report, simply exclude what you don’t want by using the NOT filters in the Report Center or Report Filters screen. Sometimes it is easier to exclude a certain type of data from reports than specify what all to include. E.g., you may want to run the Employee Utilization report for all employee activity except marketing-related tasks.
Tip #2: Run your collection letters from the Reports menu > Company list. BillQuick pre-fills them with the mailing address, company name and amount owed. You can edit these in Microsoft Word, if needed. Also, depending upon how long the invoice has been outstanding, it figures out which template to use—first, second or final notice.
Tip #3: Yes, you can prevent employees from seeing the cost rates on your reports. Select the Report Center module in the Security screen and uncheck the ‘Show . . . Cost Rates on Reports’ permissions. The best part is that this works on your custom reports too!
Tip #4: If you run 15-20 reports each day and can’t remember which ones they were, it can get confusing to find them later. So tag your reports as a favorite or memorize them; the Report Center will list these as Memorized, Favorite and Recently Viewed reports on separate tabs.
Tip #5: BillQuick uses the Century Gothic 8 pt font on the invoices and reports. If you want your memos to match the reports, change the memo font in Global Settings-User Interface. BillQuick allows you to customize the font style and size for all the memos from here.
