A major goal with ArchiOffice 2012 was to simplify previously complex processes to make your workflow more streamlined and efficient. One process that has been significantly simplified is integration.
If you use QuickBooks in addition to ArchiOffice, your experience with transferring data between the two applications just got better with the 2012 release.
In previous ArchiOffice versions, you could transfer invoices to QuickBooks as general journal entries. This was acceptable but the process was a bit cumbersome. First, you had to create an export file. Then you had to open QuickBooks and import that file to create the journal entries. You also had to look out for duplicate or skipped entries. This was good but there were too many manual steps.
In ArchiOffice 2012, the export accounting file option is no longer available and has been replaced by a new syncing process. One piece of the process that significantly improves the data transfer reliability is the new Smart Match utility which provides an easier method of synchronizing data and eliminates duplication.
No Duplication
With the previous data transfer method, there was always the possibility of creating duplicate records. You had to check in QuickBooks after transferring data. This is no longer the case. The Smart Match utility is called Smart for a reason. After the initial setup, you can synchronize data between the two applications without worrying about creating duplicate entries.
Seamless Transfer
The Smart Match utility provides a more elegant way to exchange data between ArchiOffice and QuickBooks. Instead of having to manually export a file and then open QuickBooks to select and import it, the integration utility exchanges data between the two applications with a click of the mouse—no need to keep track of an export file.
Transfer Invoice and Payment Detail
Previously, when you imported the ArchiOffice export file into QuickBooks, it would only create a general journal entry. This was good but more detail is always better. Once the sync settings are created, you can transfer not only invoice and payment detail but also employee data, timecards, projects and phases, clients, and contacts. All this valuable information will then be available for use in standard QuickBooks reports.
