Work Smarter, Not Harder — These words are not an empty marketing slogan for BillQuick and the other modules. It is a product design philosophy and ongoing challenge.
Every day you add more information to the BillQuick database — new clients, new projects, time entries, expenses, invoices and so on. Over time the number of records grows to thousands, tens of thousands, and more and more. Scanning a list on the screen or in a report to find a record becomes a less efficient habit.
What does BillQuick do to make finding a project or time record fast and easy?
First, searching for a client, project or employee is easy. Just type a few characters or a word into the Search box on these screens. As you type, BillQuick instantly searches ALL the fields in the grid list on the screen and displays matching records. For example, on the Project screen it searches the Project ID, Name, Manager and Client fields in the list. It is so fast that if you blink you miss it!
Find – The Super Search!
You can kick into Super Search mode using the Find screen. Press Ctrl-F virtually anywhere in BillQuick and the screen pops up. You can also select Find from the Edit menu.
This is power at your fingertips. First you choose the type of information (data table) to search. Next, you enter the letters or word you want to find. You control whether BillQuick should:
- Search any part of a field
- Search from the beginning of a field
- Search for the keyword as the whole value in a field
You can search for one keyword or multiple items. For advanced users AND/OR options are available. Finally, you can search all fields in a data table or select a single field.
For example, say you need to link a picture to a time entry that shows infrastructure damage at a site. The client requires evidence and that it be included with the invoice. There are hundreds of time records for the project. To meet the client’s requirements, you might search for “infrastructure” and limit your search to the Memo field. When the record is located few seconds later, a click takes you to it on the Sheet View screen. You link the picture and you’re done lickety-split!
One More Time Saver
Another area where users tap BillQuick’s quick searching capabilities is the new Report Center. Simply type any letters or word into the Search box and BillQuick instantly lists matching reports. The letters or word can be anywhere in the report title.
Of course, when you find the report you want to check out, Report Center offers a lot more time-saving features — report description, sample report, a list of similar reports, and the ability to memorize a report with its filters. You can also add memorized reports to report groups.
